What belongs on a professional invoice

A good invoice answers every question before the client asks: who is billing whom, for what, how much, and by when. That means your business name, the client's name, a unique invoice number, the invoice and due dates, an itemized list of work with quantities and rates, any tax, and clear payment terms in the notes. Consistent invoice numbers (INV-001, INV-002, ...) make your bookkeeping far easier at tax time and help clients reference the right bill when they pay.

How the totals are calculated

Each line's amount is simply quantity × rate. The subtotal is the sum of all line amounts, tax is subtotal × your tax rate, and the total due is subtotal + tax. Everything recalculates live as you type, so what you see in the preview is exactly what prints. Figures are estimates only, not financial, tax, or legal advice โ€” confirm the correct tax rate and any local invoicing requirements with your accountant or tax authority.

How to use it

  1. Enter your business name and the client you're billing.
  2. Set the invoice number, invoice date, due date, and currency.
  3. Add line items โ€” description, quantity, and rate. Use + Add line item for more rows and the ✕ to remove one.
  4. Enter a tax rate (or leave it at 0) and add payment notes.
  5. Check the live preview, then hit Print / Save as PDF. In the print dialog, choose "Save as PDF" to get a file.

FAQ

Is my invoice data uploaded anywhere?
No. Everything runs in your browser โ€” nothing is sent to a server, stored, or tracked. Refreshing the page clears the form, so print or save before you leave.
How do I save the invoice as a PDF?
Click Print / Save as PDF, then pick "Save as PDF" as the destination in your browser's print dialog. You get a clean, paper-ready PDF with no watermarks.
What tax rate should I use?
It depends on your location, your client's location, and what you sell โ€” sales tax, VAT, and GST rules all differ. If you're unsure, ask an accountant; this tool applies whatever rate you enter, nothing more.
Can I bill in a different currency?
Yes โ€” pick USD, EUR, GBP, CAD, or AUD from the currency menu and every amount, including the preview and printout, updates instantly.
