What a party rental really costs

Rental quotes are rarely one number. A typical invoice is a stack of line items โ€” tables, chairs, a tent, linens, maybe a dance floor or heaters โ€” each priced per unit, plus a delivery and pickup fee, often a damage waiver charged as a percentage of the equipment subtotal, and sales tax on top of everything. This calculator mirrors that structure exactly: every row is quantity × unit price, the rows are summed into an items subtotal, then delivery, waiver and tax are added to reach the true out-the-door total. If you enter a guest count, it also shows cost per guest, which is handy for comparing a rental setup against a venue that bundles furniture into its fee. All figures are estimates only, not professional or financial advice; rates & fees vary widely by region and vendor.

How to use it

What do party rentals typically cost?
Ballpark ranges: folding chairs $1.50–$5 each, 60-inch round tables $8–$15, linens $8–$20 per table, and frame tents anywhere from $300 for a 20×20 to well over $1,500 for large sizes. Always price from a local quote โ€” regional differences are big.
What is a damage waiver?
A non-refundable fee, usually 5–12% of the equipment subtotal, that covers accidental damage so you aren't billed for a cracked chair. It's often optional, so ask your vendor before assuming it.
Is delivery usually taxed?
In many states, yes โ€” tax is applied to the full invoice including delivery, which is how this calculator computes it. If your state taxes only the equipment, set delivery to $0, note the tax, then add delivery back manually.
